When one appointment runs late, the queue is recalculated in the database and the patients affected are told. Reception and dentists all see the same live queue.

The problem

In a busy clinic, one appointment running late shifts everything after it. Patients need accurate updates, and reception needs one reliable view of the queue instead of phone calls, a paper schedule and manual messages.

Safeguards

  • Queue logic lives in database functions, not in AI prompts, so results are deterministic and testable.
  • The AI receptionist handles conversation only and never calculates queue positions.
  • Role-based access separates admin, reception and dentist views.
  • Every change to queue state goes through a database function, never free-form AI output.

Project work

AI Dental Reception & Live Queue System

Built for a dental clinic project (clinic not named). No production deployment or active clinic use is claimed, and the WhatsApp channel for the receptionist is still being tested end to end.

Limits

Your clinic's real scheduling rules (chairs, clinicians, appointment types) have to be modelled first. Healthcare regulatory requirements are not claimed to be met and would be assessed for each engagement.

Questions

Does the AI decide the order of the queue?
No. The queue is calculated by functions in the database. The AI only talks to patients and calls those functions when something needs to change.
Who can see the live queue?
Each role has its own dashboard: admin, reception and dentist. Access is controlled by role.
Are patients told automatically when their time moves?
Yes. When the queue is recalculated, a workflow messages the patients whose appointment times have changed.
