WhatsApp appointment booking for clinics

Patients ask for an appointment on WhatsApp. An assistant collects the booking details, offers only real open slots from your schedule, books one, and hands anything else to your team with the conversation attached.

The problem

Appointment requests arrive on WhatsApp at all hours, and every one needs the same questions answered before someone can book it. Staff reply one message at a time, check the calendar by hand and retype the details.

How it works

    A patient messages the practice on WhatsApp.

    The assistant asks the questions your team agreed on (name, appointment type, preferred day and time) and saves the answers as structured fields.

    It asks your scheduling system for real availability and offers those slots only.

    Step 4

    It books the chosen slot through the scheduling API. If the slot was taken in the meantime, the booking is rejected and another slot is offered.

    Clinical questions, complaints and anything outside the agreed scope go to a person, with the full conversation attached.

Safeguards

  • The assistant can only offer slots returned by the scheduling system, so it cannot invent an appointment time.
  • A database unique constraint on the slot prevents double-booking.
  • No clinical advice: medical questions are always handed to staff.
  • API secrets live in a credential store, not in workflow files.
  • Privacy and consent requirements are reviewed with the practice before go-live.

WhatsApp AI Receptionist with Live Booking

I built this exact pattern (qualify, check live availability, book, hand off) for property viewings on my own venture, Mustaraka Properties. It is live there, and the booking flow was verified end to end over WhatsApp. It has not been deployed at a clinic yet.

Limits

A clinic version needs clinic-approved wording, your scheduling rules (appointment lengths, clinicians, buffers) and a privacy review first. Regulatory compliance such as HIPAA or GDPR is not claimed and would be assessed for each engagement.

Questions

Can the WhatsApp assistant give medical advice?
No. It handles booking only. Any clinical question is handed to a member of staff with the conversation attached.
What happens if two patients choose the same slot at once?
The booking goes through the scheduling API, and a database constraint allows only one booking per slot. The second patient is told the slot has gone and is offered another one.
Do we need the official WhatsApp Business Platform?
You need a WhatsApp Business setup that software can connect to, either the WhatsApp Business Platform or a gateway. Which one fits depends on your message volume and your region.
